01

Start with the model identity

The quotation should name the model code, not only a capacity or a photo. Where a supplier quotes capacity alone, ask for the code and the datasheet that belongs to it. Pricing, spare parts and customs paperwork all follow the code.

  • Model code on the offer and on the order confirmation
  • Series and panel type
  • Whether the code is Shinco-brand or a private-label variant
02

Confirm the technical basis

Capacity, climate class, power supply and refrigerant must be stated as the basis of the offer. A cooling capacity figure means little without the ambient test condition that produced it.

  • Rated cooling capacity and the test condition
  • Climate class: T1 or T3 with the ambient rating
  • Voltage, frequency and plug standard
  • Refrigerant type and charge
03

Check commercial and compliance terms

Certification is market-specific. An offer for one destination does not automatically cover another. State the destination country and ask which certification evidence travels with the shipment.

  • Certification scope for the destination market
  • Warranty scope and who administers it
  • MOQ, lead time and the shipping port
  • Packing data: carton dimensions, weights and container loading
04

Keep a written record

Keep the quotation and the model sheet together with the order confirmation. Where a value is described as confirmed per order, make sure the order confirmation states the value before the deposit is paid.

  • Save the quotation with its date and version
  • Match every line to the order confirmation
  • Resolve open points in writing before payment
